A Board Meeting is an annual or bi-annual event where the board of directors of a company evaluates its past performance, engages with discussions about strategic matters, and then approves actions plans to help support the growth. The board of directors reviews the financial reports, human resources and management, to decide the direction in which the company should expand.

The agenda is drafted early enough to allow for a thoughtful and focused discussion of crucial issues, as with a clear timetable. A boardroom software program like Lifesize’s OnBoard assists in ensuring that discussions are focused and easy to follow, allowing you to maximize the time for each discussion.

Start with the most important things and move on to the next item. This will keep the participants from becoming overwhelmed with long reports and routine topics which don’t add much to the discussion. The ideal is that the majority of the meeting should be devoted to strategy and discussing strategies to advance.

After the board has made a decision on a course, it is time to vote. The vote is conducted via an unofficial ballot, with the Chairman monitoring the voting process and tallying the votes. Transparency and objectivity are crucial and it is essential to have a neutral observer the voting process. It is also helpful to have an independent director who isn’t involved in your business on the board.
